Position Summary

We are looking for an enthusiastic and knowledgeable Full-Time Administrative Assistant to support our executive team. This position is ideal for a candidate who has exceptional written and verbal communication skills, along with interpersonal and problem-solving abilities, and has demonstrated the ability to work independently while thriving in a collaborative atmosphere. They must be reliable, dependable, detail-oriented, and share in our passion for beauty. This position will work out of our Calgary Head Office location.

Responsibilities

  • Directly report to the CEO, CFO, COO, and Directors
  • Prepare, draft, and edit internal and external communications including reports, memos, emails, and presentations
  • Research and conduct data collection to prepare documents for review and presentations
  • Help prepare for meetings and greet guests
  • Manage executives’ calendars and set up meetings
  • Screen and direct phone calls and distribute correspondence
  • Handle requests and queries for and from executives
  • Organize business files, contracts, and confidential information
  • Provide general administrative support
  • Perform other tasks as required and assist with coordination of company-wide initiatives, special projects, and interdepartmental communications
  • Provide general administrative support, including office supply management and occasional travel coordination
  • Support the executive team in liaising with store leadership teams and regional managers across Canada

Education/Experience

  • Bachelor’s degree preferred, but not required
  • Minimum 4 years of Administrative assistant experience, or other relevant administrative support
